As prospects, customers or suppliers to CIS Ltd, we need to collect and retain details on who you are, which company you work for, email address, telephone numbers and other information so that we can communicate with you and/or your business.
We use this information to deal with supplying IT products and services and to provide IT Support. We, therefore, may include your personal information such as home telephone number or personal mobile numbers. We also use this information to provide marketing information to our customers and prospects so that they know what services or products we offer. We also look to provide information and articles that may be of interest or invitations to relevant events.
CIS Ltd retains prospective customer information for the use of marketing, and this is done based on legitimate interest. We hold supplier and customer information based on a contractual and legal basis as we require a contract to be in place to provide goods and services, and we also have to retain financial and client information in our accounts system to comply with UK law.
We may share your private information with our vendors when registering for special pricing, to register for events on your behalf. We do not share your information with 3rd party companies without your agreement other than for compliance with the law.
CIS Ltd may share your information with any legal entity to assess creditworthiness or risk assessment as a part of our trade, as well as pass this to debt collection agencies where appropriate. We may also share your information with our preferred finance partner to provide finance options for equipment purchase.
Where are customers donate their IT equipment to our IT for Schools in Africa scheme, we will share your details with that organisation to permit the tracking donation and provide documentation to support its secure data destruction.
We will only provide the minimum necessary information and that we have suitable agreements between us that the information we supply will be protected in the same way that we do.
We store your data using GDPR compliant service providers who are all based in the EU and are themselves GDPR compliant. We ensure that there are suitable contracts in place before using their services.
CIS Ltd is committed to only collecting the minimum amount of personal data to conduct its business and to maintain efficient and accurate communications with you.
Your personal information will only be accessible by the current CIS Staff and its professional advisors.
We will take appropriate steps to protect your personal information and to keep it up to date. If you would like to see the information we hold about you or need it updating, please contact us (details at the end of this policy).
Once you have provided your personal information to us, we will retain that information for as long as you are a customer or vendor of CIS Ltd. If you cease to be a customer or vendor, then we will remove your information from our CRM and Accounts Systems after seven years to comply with UK accounting law.
If you are a prospect and no longer wish to be contacted by us, we will remove your information from our CRM system within 14 days of you contacting us and registering that request.
